As a Fintech Thought Leader, Stone & Chalk offers externals, corporate partners, residents and community members numerous events to engage, share and learn. These events are a cornerstone of the way in which we communicate, build and share knowledge and continuously evolve the Fintech community, both within Sydney, Melbourne and across APAC. Events are the lifeblood of the Stone & Chalk Fintech community.

The Events Coordinator will focus on managing smooth flowing event logistics by juggling multiple time-critical details and resolving hiccups quickly with good judgment. You ensure the execution of all the small but timely details that form a quality event; delighting clients and attendees alike.

 

What we are looking for…….someone who loves…..

Organising!! You live and breathe logistics and can’t wait to get working on the list activities and details that gel together to create dynamic interactive events, e.g. coordinating great speakers, booking space, catering, AV, invites, invoicing, arrival management, resourcing to man events, leading bump in & bump out, security, promotional materials, space layout, e.g. chairs, furniture, stages, fans, etc. …..the list goes on….and on!

End-to-End ownership of managing and driving event logistics, client management and ongoing communications (reminders, briefings etc.) to participants and the team, attendance tracking and follow-up from event to event, you revel in streamlining logistics

Constant improvement by listening, communicating and understanding partner and participants’ experiences to ensure feedback/surveys from each event is captured and acted upon to improve future events e.g. post-event evaluations etc. You look at innovate ways using technology to capture this info

Sharing of events planning information to Marketing to ensure sufficient time to plan and reach targeting relevant community(ies) regarding upcoming events and attendance.

Experienced in and enjoys driving continuous improvement/ automation of Event processes e.g. checklists, templates, run sheets, catering, traffic flow, signage, invoicing etc to gain event efficiencies (free up time for more fun!) and implement learnings to improve the experience of each event for attendees and partners and casual event staff that help deliver the experience

Timely bookkeeping and budgeting, and invoicing for events to ensure we keep on budget and keep control of costs, and are up to date with actuals week on week, and reconciliation of each event to understand its financial performance.

Food! (Ok that one was easy!) this role manages menu planning and catering package design for all events, and ensuring events are successful catered (happy attendees!). You will have the support of great caterers that we partner with yet will need to brief on preferred ways of working to ensure smooth sailing.

Being a YES person…whatever is needed you ensure the SHOW goes on; scrappy and resourceful, you are a creative individual that finds a way through any brick walls that land in your path. You make it happen, over-communicate to the team and take ownership to ensure any event/project delivers a valuable experience for attendees.

Owning and co-ordinating a busy event calendar for the team, ensuring frequent communication of the stellar line-up to all team members and communities on their particular events, and ensure that the event space love is shared throughout the different communities. You will be responsible for tracking, communicating and booking all Stone & CHalk space hire for events.

Building, leading, coaching and managing a team of casual staff to support the smooth delivery of events and making them feel very much part of the Stone & Chalk team living and enjoying the Stone & Chalk ethos. You will set up a training program that enables you to easily onboard new staff.
